It’s a proprietary system we teach all our Executive Family Management clients to help them gain clarity, reduce anxiety, and manage communication like a pro. The best part? You can set it up in under 10 minutes.

What It Looks Like:

Your Gmail becomes a calm, functional dashboard with your inbox on the left and custom sections on the right:

  • Needs Response

  • Waiting

  • File

Each email lives where it belongs, not in a chaotic scroll of 4,000 unread messages.

How to Set It Up:

Step 1: Switch to Multiple Inboxes View

  • Go to Gmail SettingsSee all settings

  • Click the Inbox tab

  • Change Inbox type to Multiple Inboxes

  • In the “Search query” boxes, add:

    • label:Needs-Response

    • label:Waiting

    • label:File

  • Save changes

Step 2: Create Matching Labels

In your Gmail sidebar:

  • Click + Create new label

  • Create these three:

    • Needs Response

    • Waiting

    • File

(Optional: Assign colors—blue for action, purple for pending, green for archived.)

Step 3: Start Using It Daily

As emails come in, quickly categorize them:

  • Action required? → Needs Response

  • Waiting on someone else? → Waiting

  • Done with it? → File

Use keyboard shortcut L to label on the fly. Don’t aim for “zero.” Aim for sorted.

Pro Tip:

Create a weekly 15-minute “Inbox Reset” time block to process anything left hanging.
